Job Description

This role provides EA support to two Executives within the organisation; both are based outside of the UK. The role includes planning, diary management, and maintaining high-level internal and external relationships, including with their Leadership team.  

The post holder is required to be able to work autonomously; however, they form an important part of both Executives and their teams, reporting into the Chief RIE Officer & M&S Officer, working closely and collaboratively with their teams. The EA will take on ad hoc projects in support of the Executive’s workstreams as and when required. 

The EA will need to be able to anticipate and respond to competing priorities frequently, seeking to improve processes with a solution-oriented, transparent, and adaptable approach. This role is critical to the smooth running of the Executives’ function and requires someone approachable, with lots of enthusiasm, well-honed communication skills, and outstanding organisational skills. 

Core Responsibilities

  • Provide EA support to both executives, including diary management, travel, meeting control, logging contact information on the PRI CRM, and expenses. 
  • Ensure a proactive and first-class service is provided to the Executives, including operational planning and delivery, and tracking/capturing priorities. 
  • Act as an ambassador of the PRI, building strong relationships with a wide range of contacts, including incredibly important internal and external stakeholders. 
  • Prepare and collate information and documentation required by the executives in advance of their meetings to ensure they are prepared in plenty of time. 
  • Deliver ad hoc projects and tasks in support of the executives, working closely with their business areas. 
  • Work with the Executives and their Director Groups to ensure the Executives are prepared for their PRI (Principles for Responsible Investment) Board and associated Committees to which they may be affiliated.   
  • Work with relevant teams across the PRI in the strategic planning of events, working with others on their delivery as appropriate. 
  • Work collaboratively and collegiately alongside the other EAs in the business to ensure teams are aligned and there is a full service maintained in times of absence.
  • Provide regular reporting to the Executives as and when required. 

Person Specification

  • Experience of working as an Executive Assistant, in a hands-on role at C-Suite level 
  • Demonstrable evidence of global diary management and planning within a busy and demanding international setting
  • Significant experience in managing global travel 
  • Experience in building systems and processes to improve workflows 
  • Excellent organisational skills, able to multi-task, meet deadlines, and juggle competing demands 
  • Excellent attention to detail, including the ability to proofread documents and emails, and produce work at a consistently high quality and level 
  • Excellent written communication and verbal presentation skills, with an ability to apply confidentiality given the business area. 
  • A collaborative and consultative approach to working with others at all levels in the organisation, and the ability to foster an inclusive working environment 
  • Excellent interpersonal skills, able to build relationships, both internally and externally 
  • IT/system skills to an intermediate/advanced level (Microsoft Office packages) 
  • A pragmatic, proactive, and solutions-driven approach is essential  
  • As this is a global role, international travel may be required. 
  • Language skills, other than English, are desirable.
